Privacy Policy
Roles: Customer, User, and Site Visitor
Most personal information processed through the Service falls into one of three roles:
Customer — the business entity holding the account. The Customer determines what content is published and what data is collected through its own site.
User — an employee or team member invited by the Customer to access the Service.
Site Visitor — a person who visits a website Customer publishes through the Service, for example by submitting a contact form on that site.
For content and information Customer publishes or collects through its own site, CivyxIQ acts as a service provider to the Customer and processes that data on the Customer's behalf. The Customer is responsible for providing notice and obtaining consent from its own Site Visitors where required, and for responding to their data requests. If you are a Site Visitor with a question about information you submitted to a specific contractor's site, contact that business directly.
Information We Collect
From Customers and Account Owners. Account information: name, email address, password (hashed), company name, and role. Billing information, once applicable: payment details processed by our payment processor, billing address, and transaction history. Company information: company name, service area, contact details, and brand assets such as logos and colors, plus custom domain configuration where applicable.
From Users. Identity and login: name, email, role, and password (hashed). Activity data: page edits, publish and unpublish actions, and other actions taken within the Service, recorded for the audit trail. Device data: device type, operating system, browser, IP address.
From Site Visitors. If a Customer enables a contact form or similar feature on its published site, information a visitor submits through that form is Customer Data, collected on the Customer's behalf. Basic web request information (such as IP address and browser type) may be logged for security and abuse prevention when a published site is accessed.
Collected automatically. IP address, browser type and version, device identifiers, time zone, pages viewed, features used, and error logs.
Cookies. We use strictly necessary cookies to operate the Service (authentication, security), functional cookies to remember preferences such as theme, and, where enabled, analytics cookies to understand usage. You can control cookies through your browser settings; disabling some may affect functionality.
How We Use Information
We use information to: provide, operate, and improve the Service; authenticate Users and protect accounts; process billing once applicable; provide support; detect and prevent fraud and abuse; develop the Service using de-identified or aggregated data; communicate with you, including responding to access requests and, where you've opted in, sending SMS updates; and comply with legal obligations.
Communications and SMS Consent
If you opt in to receive SMS text messages from us — for example, when requesting access — message frequency varies, message and data rates may apply, and you may reply STOP to opt out or HELP for help at any time. We do not share your mobile number with third parties for their own marketing purposes. Providing SMS consent is never a condition of using the Service. We may also contact you by phone or email in response to a request you submit, whether or not you opt in to SMS.
How We Share Information
We do not sell your personal information. We share information only as follows: with service providers who help us operate the Service, including hosting, payment processing, email delivery, and analytics, under contractual obligations limiting their use of it; when required by law, subpoena, or court order, or to protect our rights or the safety of others; in connection with a merger, acquisition, financing, or sale of assets; and with your direction or consent.
Data Retention
We retain personal information for as long as your account is active and as needed to provide the Service. After account termination, we may retain certain information for a limited period to comply with legal obligations, resolve disputes, and enforce our agreements. Backup copies may persist for up to 90 days after deletion from production systems.
Security
We implement reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption in transit and access controls. No method of transmission or storage is completely secure. Notify us immediately at support@civyxiq.com if you suspect unauthorized access to your account.
Your Rights and Choices
Depending on your location, you may have the right to: access a copy of the personal information we hold about you; request correction of inaccurate information; request deletion, subject to legal exceptions; request your data in a portable format; object to certain processing, including direct marketing; and withdraw consent where processing is based on consent. To exercise these rights, contact privacy@civyxiq.com. We may need to verify your identity before fulfilling a request.
California, Florida, and Other State Residents
Residents of states with comprehensive privacy laws, including California (CCPA/CPRA), Florida (FDBR), and others, may have additional rights regarding their personal information, including the right to know, delete, correct, and limit use of sensitive personal information. We do not sell personal information for monetary consideration. To exercise your rights, contact privacy@civyxiq.com.
Children's Privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, contact privacy@civyxiq.com and we will delete it.
International Users
The Service is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you consent to this transfer.
Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version on our website and update the effective date above. For material changes, we will provide additional notice such as email. Continued use of the Service after an update constitutes acceptance of the revised policy.
